In-CRM Contracting: Template Governance & Automated Routing
About the Client
A national restoration services company manages residential and commercial projects with Salesforce and DocuSign. Field and back-office teams needed a simpler, more reliable way to send, track, and complete service agreements and change orders directly from Salesforce—without template confusion or rework.
Use Case
Contract packages (Emergency Service Agreements, Construction Agreements, Change Orders, Exhibits) were being sent with too many manual steps and inconsistent rules. Users often selected the wrong template, missed required fields, or created recipient loops—leading to delays and re-sends.
The client needed a guided, error-proof “send for signature” flow in Salesforce that chose the right DocuSign template, enforced the right fields, standardized subjects and filenames, and reduced clicks for non-technical users.
Initial Enhancement Implementation
The first phase focused on stabilizing the process and removing user friction:
- Mapped all agreement types and regional variants, clarifying when Exhibits A/B are required.
- Defined a clear template order and naming to prevent look-alike template selection errors.
- Standardized DocuSign subject lines and completed-file naming conventions for search/audit.
- Fixed signer routing/loop issues and corrected mislabeled fields (e.g., Contract Completion Date).
Solution Approach: Guided, In-CRM Signature Flow
To make sending fast and consistent, the team delivered:
- A guided “Send for Signature” panel in Salesforce with guardrails (auto-reset exhibits on template change, enforce the right required fields at the right time).
- Template governance to block conflicting selections and surface the best-fit package first.
- Automated subject/file naming using job/claim references for reliable search and compliance.
- Coverage across Emergency Agreements, Construction Agreements, Change Orders, T&Cs, Right to Cancel, Mechanic’s Lien, and Exhibits.
The result is a consistent, administrator-friendly flow that reduces training needs and eliminates common send errors—without requiring users to leave Salesforce.
- Same-day sending: fewer clicks and clearer prompts reduce time to send.
- Fewer re-sends: template guardrails and correct routing cut errors dramatically.
- In-CRM completion: users stay in Salesforce for status and documents.
- Audit-ready: standardized subjects and filenames speed search and compliance checks.
- Lower training burden: consistent labels and rules reduce confusion for new users.
